What the solution contains

A secure upload link connects each submission to the correct customer case. Files enter controlled storage, pass security checks and are processed only for the required information. Where practical, the customer enters structured fields directly so those details do not need to be extracted from a document.

A checklist defines the required items. Rules compare extracted fields against the customer’s submitted record, including required names, reference numbers and relevant dates. Unreadable files, uncertain extraction and mismatches are routed to a reviewer. Reminders ask for specific missing items rather than requesting the whole pack again.

Reading a document is not proof that it is genuine. This example covers collection, completeness and consistency checking. If identity verification or regulated due diligence is required, specialist checks and approved procedures must be scoped separately. A “complete document pack” is not the same as an approved customer.

Secure intake and file checks protect the entry point. The case stores the submitted documents and extracted information. A rule layer separates missing items from material discrepancies. Requests return to the customer; both completed packs and exceptions reach an authorised reviewer. The final case status and decision evidence are recorded separately from raw document processing.

The end-to-end journey

  1. Define the required pack. The business agrees what each customer needs to provide, which fields must match, who reviews exceptions and what “ready to proceed” means.
  2. Send a case-specific request. The customer receives an expiring upload link with a clear checklist and an explanation of how the information will be used. Access is verified in proportion to the sensitivity of the material.
  3. Collect and check files. The customer uploads the documents. File type, size and security checks run before processing. A receipt confirms submission, not approval.
  4. Extract only what is needed. Document processing captures agreed fields and links them to their source. Uncertain values remain flagged rather than being silently treated as facts.
  5. Apply the checklist. Rules identify missing documents, inconsistent fields and relevant expired items. Formatting differences can be normalised without changing the underlying evidence.
  6. Ask for a specific correction. If an item is missing or unreadable, the customer receives a focused request. Reminder limits and overdue escalation prevent endless automated chasing.
  7. Review the prepared case. Staff see the documents, extracted fields and reasons for flags in one place. They correct extraction errors, request more information or record a decision within their authority.
  8. Update the business system. A confirmed status is written back and the agreed next step begins. Records follow the business’s access and retention rules; reminders stop when the case is closed.

When could you start seeing benefits?

A pilot for one document pack may take 3–6 weeks, assuming an existing customer system, sample documents and agreed rules. Reduced chasing and preparation effort can become visible in the first completed onboarding cycle, commonly weeks 4–8 when there is enough activity to compare.

Sensitive document handling, new identity providers or regulatory requirements can extend the scope and timetable. These estimates concern workflow benefits; they do not promise verified identities or regulatory compliance.

What to measure

Measure staff preparation minutes per case, missing-item follow-ups, time waiting for customers, extraction corrections and the proportion of cases needing review. Check a sample of apparently complete packs as well as flagged ones, so reduced workload does not hide missed issues.

A sensible first step

Begin with one checklist and one or two document types. Automate collection and reminders first; add extraction only where it saves meaningful re-keying. Keep customer acceptance with an authorised reviewer during the pilot.
